Job Summary:
Trane in Canada is hiring for a Service Coordinator to join our team. In this role, you will be responsible for planning, coordinating, controlling, and directing activities of operational resources for all of our large facility management companies. Ultimately, this individual will coordinate the execution of service agreements and repair work by receiving and dispatching work orders for these large facility management companies. This includes procuring the appropriate labor and materials for work completion within financial standards. Customer interaction, communicating with the Local Trane branches, and coordinating job priorities with these branches will be an everyday oc4currence. Interacting with these companies software programs to receive and open work order, dispatch these W/O to the branches, confirm completion of these W/O and enter this completion into the Facility management companies program. On Completion of these function this person will then invoice the customer in accordance with their (the customers) process. This position will also be responsible for the maintenance and update for all 3rd party compliance companies. This will require weekly checks and confirmation that Trane remains in “Good Standing” with these 3rd Party companies.
Responsibilities:
• Coordinates service resources, dispatches and assigns team members to project.
• Interacts and communicates with all regional Resource Co-Ordinator’s to assign/dispatch Controls Technicians and HVAC Technicians based on W/O received.
• Maintains customer satisfaction by investigating concerns, routing them to the assigned staff, and responding to special requests.
• Generates work orders, reviews project paperwork, forwards project paperwork to Project Administrators, and generate various reports.
• Work within Facility Managers propriety software to receive, dispatch, modify, close and invoice said W/O’s.
• Work with the customer to resolve billing discrepancies and support accounts receivable collection activities, as needed.
• Keep all 3rd Party Compliance companies current.
Qualifications:
• Education: High School Diploma/GED required.
• Must have excellent Customer Service skills - need to be extremely comfortable and effective on the phone.
• Must be organized with the ability to multi-task and prioritize daily interruptions.
• Must be detailed oriented and enjoy working in a fast paced environment.
• Flexibility to work overtime/weekends, as required.
• Knowledge of Word, Excel, Outlook, and Windows.
